PASTORAL COUNCIL MINUTE (UNAPPROVED)

AUGUST 8, 2012

Meeting started at 8:00 P.M. with prayer.

Change in the minutes from June 21 meeting. Delete the following sentence: Styrofoam has gone up $5000.00.

Dave Skwira made a motion, seconded by Deb Woitalla, and voted to approve the minutes from the last meeting after the correction was made.

Dave Skwira made a motion, Ronnie Gross seconded and voted to accept treasurer’s report.

Deb will put an updated list of contact people for the parish on the bulletin board.

The current parish member list is considered accurate.

We received bids from Donlar and Coon Creek Builders for roof project. Donlar’s bid included steel that interlocked leaving no screws exposed. Deb made a motion, seconded by Marvin Thomas and voted to approve awarding the bid to Coon Creek Builders. Ronnie Gross made a motion, seconded by Deb and voted to approve purchasing the styrofoam from Bob’s Lumber. Phyllis Schmidtbauer made a motion, seconded by Dave Skwira and voted to approve purchasing steel and accessories from Loidolt Lumber. We will be using light gray for the roof tin. Fitting the gutters back on the new roof should be the only variable in the bid. If we can get volunteer help with loading and cleaning up the shingles the price should go down. It will take about 2 weeks to replace roof. Should start in September or early October. Horst will call and firm this up.

The wall insulation will be put on hold until the roof is done. The bid for labor and materials to insulate the walls was $25,978.96.

The parish house is now empty. We will only need to heat the basement.

Raffle tickets will be available before and after church until the bazaar.

There are currently only 5 items for the silent auction. Would like to have more items.

Fr will take pictures of the boat to other parishes to help promote ticket sales.

Update on the Morton Building. It should get lagged. The holes are still there, we are waiting for the rocks. The building is down there is some work to be completed on the inside.

Would like to replace the old cedar trees with blue spruce trees in the cemetery.

September 1 with be the last Saturday mass in Harding.

Ron Gross with put up the Marriage amendment banner.

Parish Vibrancy Tool - Deacon Mark Barter will meet with Parish leaders in the future to discuss.

It was suggested we could possibly have bingos, breakfasts, or suppers to supplement the roof fund.

Suggestion was made to sell the left over pies from dinner outside on the grounds. The system we have in place now seems to be working so will keep it the same for now.

Holy Trinity - no report

Fr Pierz - 72 students went to Steubenville, had a great year, at or under budget

Rosary Sodality/Holy Name - Rosary Sodality will play bingo in October and have a bingo in November.

The next meeting will be on September 26.

Motion made by Horst and seconded by Ronnie and voted to approve the treasurers report as given.

Minutes from the last meeting were read. Horst made a motion and Deb seconded to approve the minutes from the last meeting. Motion passed.

Assessment from the diocese is currently $7300.00. It went down form $7500.00. Assessment is based on the number of members. We have about 280 families. The census that was taken a few years ago is considered accurate.

It was noted the mass intentions has opened up considerably. The Saturday evening mass has helped.

The plexi-glass on the sign was replaced by Horst and Janet Hanneken.

The pine trees in front of church have been removed and replaced. The Willie Rudolph family donated the trees. Jeff Kloss charged very little for his machines and help. Thanks to all who helped.

Ronnie talked to Carey Swaser from Tri City Paving about repairing the tar in front of the bus garage. He gave an estimate of $3500.00 to remove the old tar and replace it. Ronnie Gross will pick up pot hole mix patch the holes.

The bus garage doors need to be adjusted. Ronnie Gross will check into this.

We received a request to make benches in the bingo stands handicapped accessible. Horst will take care of this.

The mountain ash in front of the church has died. Suggestion to replace it with a flowering crab. Dave Schubert will address this.

Some people are not sure who to contact for church events. Deb will check with Leonard and will update contact list. It will be posted on the bulletin board and on the parish website.

Morton building is still a work in progress. The target completion date is before the bazaar. We are planning to start on August 4 at 9:00 am. We will be looking for volunteers. Deb will call and have the power lines located.

Special projects should be posted on the web site and in the bulletin. Deb will call Teresa Thesing about the roof project. Horst will get a note in the bulletin about the estimated cost and it will run continuously.

Received estimates (not bids) on materials and labor to replace the roof. The work will increase the R value to 17 ½. Styrofoam has gone up $5000.00. Steel has raised 3 times since January. The gutters will have to be moved. We will save considerably by buying screws directly from Fastenal. We could save some money on the clean up if we have volunteers to help. Fr. David will check with the diocese on getting a loan and call a special meeting to get the job started.

Items in the parish house and some items not being used from the kitchen will be put on a silent auction in the Morton Building. The items will be open for viewing on Saturday, July 28 after the 4:30 mass and Sunday July 29 after the 8:45 mass. Bidding will close at 11:00 on July 29.

Proceeds will go to the roof fund.

If parishioners wish to be put on the council agenda they should contact Fr. David, the trustees, or Grace.

The bazaar raffle tickets are now being printed. They should be out by the 4th of July. There are 102 prizes. First prize is a 17 foot Triumph Fishing Boat valued at $23,900 and second prize is $1000.00. There are 5 items for the bazaar silent auction.

The finance committee discusses anything pertaining to the cost factors of the church. Horst and Dave Schubert are willing to continue on this committee. Deb made a motion and Marvin seconded to keep the committee as it is. Motion passed.

It was brought up about waiting for the family to go through the lunch line first after a funeral. He will announce it at the funeral.

Holy Trinity - no report

Fr Pierz - everything is good

Rosary Sodality - Deb and some of her family went to Bingo in Little Falls and there will be bingo at the Villa in October.

Next council meeting is scheduled for August 8.

Horst made a motion and Deb seconded to adjourn the meeting at 9:45. Motion passed.

APRIL 19, 2012

Meeting started at 7:50 with prayer.

In the bazaar account there is $14,159.16 in the building fund, the cemetery fund has $7,671.02, the adult education fund has $168.00 and that leaves $5,862.15 in the bazaar fund. A motion was made, seconded and voted to approve the treasurers report as given.

Steve Traeger with Traeger Industries of MN Inc prepared an estimate for retrofit panels to be installed under the shingles of the church. The estimate was for $51,743.00. We would still need to strip the old shingles and add steel. It was reported that the roof was leaking in the choir.

Lynn Woitalla was present to question the sound system. There are some quiet spots in the church. Lynn and Valerie will check the speakers and try to pinpoint the problem areas.

Motion was made, seconded and voted to approve the minutes of the last meeting.

We would like to send in monthly payments to the Diocese instead of quarterly. We should be trying to keep $10,000.00 in the bazaar account.

Repairs to the Morton Building were discussed. Marvin has most of the materials. We need to get a crew and set a time to do it. We will also need some machine power. We will continue to work on this.

What the responsibilities of being a member of Holy Cross Parish will be further discussed.

The stole fees should be printed in the bulletin, posted on the parish web site, and hung on the bulletin board.

Items left in the parish house were addressed. All available council members will meet on Sunday after church to decide what should be done with them.

The new lawn mower is paid for and Horst will call about delivery. Monies used to pay for it came from the Tree of Lights $2410.00, $2500.00 from the Holy Name Society and $1000.00 from the Rosary Sodality.

Special projects should be posted on the church web site. The roof project will be posted there when we get some firm bids.

The parish assessments is based partly on our parish members.

Tree removal was discussed. New trees have been donated but it will cost approximately $75.00 for the machine to place new trees. There was a motion made, seconded and voted to cut the trees and grind the stumps. New trees will be planted as funds are made available.

We have no insulation in the church walls. RetroGreen Energy submitted as estimate for this project. The figure is for information only at this time as the roof needs immediate attention.

The parish audit was reviewed. We provided no response to the 2005 audit. Fr. David, the trustees and some finance council members went through the audit and will respond with our procedures.

It is difficult some times to get all the mass intentions made. Masses for the parishes will be evened out and hopefully this will help.

Cement was poured in the cemetery.

It was reported there are holes in front of the bus garage where the cement and tar meet. We will try to get estimates to have these repaired.

It was mentioned we should have a parish log as to what work is done in the parish, who does the repair work and when it was done. This would be a log on maintenance and repair practices.

The plexiglass on the church sign needs to be replaced. Measures are being taken to have it repaired.

Council elections are coming soon. Horst and Dave Schubert’s terms are up and they cannot be re-elected. Deb will be working on this.

Fr. Pierz report: everything is good and they are under budget.

Rosary Sodality will be having bingo at St. Otto sometime in June.

The next meeting will be June 21.

Meeting started with prayer at 8:15.

Geo thermal heating, Morton building repairs, and parish house items will be tabled until next meeting.

It was suggested that each council member make a list of 3 - 5 items on what should be included in the definition of being a member of Holy Cross Parish.

Had a brief discussion on Stole Fees. Motion made, seconded and voted to approve the following policy for stole fees: There will not be a set fee for Baptism or Baptism certificates, donations welcome. Weddings will have a set fee of $100.00. Funerals will not have a set fee, donations welcome.

The lawn mower will be purchased after it is decided what size deck is needed.

The following price changes on cemetery plots effective March 1, 2012 had a motion made, seconded and voted to approve.

Non-parishioners $1000.00.

As of right now, parishioners are all listed on the parish roster.

Work has been done to make the church more handicapped accessible. The pews that were removed will be refinished and put in the adoration chapel.

Bags have been ordered for the big vacuum and parts for the other cleaner. It is hoped to have 3 vacuums running soon.

Motion was made, seconded and voted to approve the purchase and installation of a new laundry tub and faucet in the sacristy.

We need to purchase fuel for the church. Motion made, seconded and voted to approve the purchase of 2000 gals of fuel. LeRoy Knopik will take care of that.

It was suggested to increase from 2 to 4 ushers on the bazaar weekend, Easter and Christmas.

Confirmation is February 5, 2012. Holy Cross will not have any one being confirmed this year.

Holy Cross will have a Saturday mass at 4:30 PM from Memorial weekend through Labor Day weekend. It would be helpful if we have more ushers, servers, lectors, Eucharistic ministers and musicians volunteer.

Next meeting will be March 29.

Received estimate from Long Prairie Plumbing and Heating on geo-source heating and cooling.

Discussed the possibility of insulating the church walls. Al Kuebelbeck will check if foam insulation is possible.

Fixing the Morton Building will be tabled until spring. There will be boards put around the foundation to seal the building. Horst and Dave Skwira will take care of that.

During the winter months, the back pews will be renovated to make room for wheel chairs.

Discussed what it means to be considered a member of Holy Cross Parish. Would like to hear input from parishioners as to what requirements should be.

We are continuing to look at the stole fees and the use of building fees.

Would like to the see the parish roof project added to the parish web site. It was suggested we make some kind of chart in church entry to show what our total goal is and what progress we are making to reach that goal. We will need to have a list of specs as to what we need and get estimates to match those specs. Horst will check into getting a specs list.

Motion was made, seconded and approved (must get Leonard Thesings approval first) to purchase a new lawn mower with the cemetery funds to be repaid with the tree of lights funds.

Snow removal will continue as last year.

Council will look at parish house items and decide what to do with them. The parish house needs to be winterized. Marvin will oversee the winterization.

If parishioners have any suggestions or issues they should contact the church trustees. The trustees and they phone numbers are: Al Kuebelbeck at 320-745-2328 or LeRoy Knopik at 320-277-6151.

There is a phone in the elevator in case someone would get locked in. The phone is connected with the sheriff’s office.

Mass schedule will be reviewed. We are considering a Saturday afternoon mass from Memorial Day to Labor Day in Harding. We are looking for input from parish members.

Would like to have a few bingo days. Hopefully they would start in mid or late January.

Cemetery will be expanded by 28 lots.

Firearms Safety Class will be held in the church basement.

Next meeting will be January 19, 2012.

Heard a report from Debra Meyer-Myrum on Holy Trinity School. We received copies of their council meeting and an enrollment report.

Long Prairie Plumbing and Heating made a presentation on Geo-thermal heating and cooling. The is substantial expense in setting a system up but the savings in fuel cost should offset the expenses. They will provide a cost estimate.

We authorized Teresa Thesing to be in charge of the parish website. Fr. David or the trustees to provide updates.

Leonard and Teresa Thesing volunteered to manage the tree of lights again this year. Donations this year will be put towards the lawn mower fund. Motion was made, seconded and voted to approve.

It was suggested we drain the water and lower the temperature in the parish house. Ron Gross will contact Arnie Wiecorek about winterizing the plumbing. We should also check on upgrading some of the plumbing work.

The work needed to be on the Morton Building was tabled for the time being.

Discussed what it means to be counted as a member of Holy Cross Parish. This item was tabled for the time being.

It was mentioned we should publish a list of stole fees for the parish.

The items in the parish house did not make it to the consignment auction. It was suggested that some of the items could be listed on the parish web site for sale.

Rosary Sodality will have its turkey bingo on November 6, 2011 at 1:30.

There was no report from Fr Pierz School of Religion.

The next meeting will be on November 17, 2011.

OLD BUSINESS

Talked about removing and replacing trees in front of church. We received an estimate on removal and replanting. Russ Woitalla has offered to donate Norway Pines to replace. This item was tabled for now.

Eric Thesing presented a proposal to start and maintain a parish website. Horst made a motion to accept, Deb Woitalla seconded the motion. Motion was passed to authorize Eric Thesing to go ahead and start the web site with the parish paying the annual fee. We would like to thank Eric for donating his time and knowledge to this project.

NEW BUSINESS

Mark Loidolt made a presentation on the FOCUS program. There are presently around 300 missionaries on 30 campuses. The idea is to reach students and call them to leadership in their Catholic faith. Everything they do is possible through fund raising. He is requesting a second collection possibly every two months. Council will discuss this further.

Leonard Thesing requested permission to trim some of the trees on the church grounds. Ron Gross will provide a wagon and dispose of the trimmings.

The lawn mower will need to be replaced in the near future. We had a discussion on prices. Will fix the deck for now and replace the lawn mower when necessary.

Motion was approved to place the household goods now stored in the parish house on the consignment auction in September.

We would like to thank the Brisk family for the donation of a wheel chair. Dave Schubert will label the wheel chair.

Talked about removing parts of the back pews to accommodate wheel chairs. Dave Schubert and Horst will work on this project during the winter.

Had a discussion about fuel costs. Geo-thermal heating and cooling is an option. We will check with other parishes in the diocese to see about feasability.

The small Morton Building heaved quite a bit this spring. We will get an estimate from Morton. Members of the council available will meet Sunday after mass to assess the situation.

We have a need to extend the cemetery. It will be extended to the North.

Several council members have been approached and several suggestions were in the suggestion box regarding all the disruptions during mass. We are happy to see so many children attending mass, but sometimes they can be disruptive. After a heated, lengthly discussion, it was decided to put another notice in the bulletin about using the crying room. The crying room was recently redecorated and is there to keep distractions to a minimum for the congregation and the priest.

Discussed putting deadbolt locks on the sacristy. The cleaning supplies could be moved to the other side of the alter.

There were no reports from Holy Trinity, Fr. Pierz School of Religion, Rosary Sodality or the Holy Name Society.

The next meeting will be on September 29, 2011.
